Project Assistant

As a member of the administration team, you will work closely with our project teams and other departments to ensure that the assigned administrative tasks of the project(s) are performed accurately and on time to support the execution of field operations.

Primary responsibilities include, but are not limited to:
  • Prepare Owner progress billings, collect payment, make deposits, and reports (Accounts Receivable)
  • Review supplier and subcontractor invoices for accurate billings and cost coding (Accounts Payable)
  • Prepare, collect, and update contract / subcontract documents 
  • Reconciliation of accounts including vendors and subcontracts
  • Establish and maintain project contact lists and distribute 
  • Preparation and distribution of documentation to project stakeholders 
  • Prepare and distribute meeting minutes
  • Create and maintain project files in Project SharePoint Site and hard copy
  • Assist with preparation and distribution of reports
  • Administration of Safety documentation
  • Complete project completion tasks including Operation and Maintenance Manuals
  • Prepare Request For Quotations and Vendor follow up 
Qualifications:
  • Minimum 3 years in an administrative role with accounting experience
  • College or University Degree in Business Administration / Financial Management
  • Demonstrate high attention to detail and quality management
  • Strong communication skills including verbal and written 
  • Experience working in the construction industry an asset
  • Advanced level computer skills using Microsoft Office, SharePoint, and Accounting software
  • Ability to work independently & with minimal supervision
  • Highly organized and able to multi-task to meet deadlines
  • Values Teamwork
  • Effective Time Management and Priority Management Skills
